What is the AGM all about?

If you are curious as to what the Guild’s been up to and want to see the improvements that are being made to student life at Exeter, then join us on Monday 1 December for our Annual General Meeting (AGM). It’s going to be an evening filled with the latest updates, new ideas and important conversations – plus free food and a glass of bubbles!

What is the AGM all about?:

The AGM is your chance to see behind the scenes of the Students’ Guild – the team that represents, supports and celebrates students across Exeter. An evening led by students, for students, it’s a space for you to truly get involved and be heard.

At the AGM, you will meet and hear directly from your Full-Time Officers, Trustees and staff about a series of crucial issues and topics. As one of the most important events of the year, it only works when students get involved!

Why you should come along:

The AGM is for everyone, whether you are already involved with the Guild or you’ve never been to an event before. Here’s why you should get involved:

Ask Questions – This event is your space to speak up about concerns you may have. It is also the platform where you can question how important decisions are made or state any ideas you have for improvement.

Connect with the people behind the Guild – The AGM is a perfect forum for you to connect and chat with elected Officers, Trustees and staff, to learn how you can make the most out of your representation at university.

Shape the future of our Guild –Whether you are thinking about running in future student elections, leading a society or have ideas about initiatives, the AGM is a great way to learn how student democracy works in action.

Enjoy free food and drinks: You can take full advantage of the options available for everyone – including vegan, veggie, and gluten-free choices – and both alcoholic and alcohol-free beverages.

What to expect at the AGM:

The evening will cover an array of important topics from the initial presentation – this features a ratification of the AGM 2024 minutes, a report from the trustees, a presentation of the financial accounts, approval of Guild affiliations, and open questions with the trustees.

After the initial presentation, you will have the opportunity to explore Devonshire House, meet the team, and share your questions and ideas in an open forum.

Accessibility is very important in making every student feel welcome. You should expect wheelchair access, accessible parking, gender-neutral and accessible toilets, designated quiet spaces, and plans for live BSL interpretations.

If you have any questions on accessibility or the AGM, email info@exeterguild.com

Terms you might hear:

These meetings can come with some jargon, so here’s a quick cheat sheet:

-         AGM (Annual General Meeting): The yearly meeting open to all Guild members (students)

-         Ratify: To formally approve something — often minutes or appointments

-         Motion: A proposal submitted by a student suggesting a change in Guild policy or action.

-         Amendment: A change or addition proposed to a motion during debate.

-         Mandate: When students vote for something, the Guild and Officers are “mandated” to act on it.

-         Quorum: The minimum number of people who must attend for the meeting to be valid.

-         Minutes: The official written record of what was discussed and decided.

-         Student Officer: A full-time elected student leader who runs the Guild’s day-to day.

How to prepare for the AGM:

Think about what matters to you – Whether it’s housing, wellbeing, societies, or sustainability, come ready to ask questions or share your views. This is your space to influence change.

Plan to stay and chat – After the formal part, stick around to talk to Officers, Trustees, and staff. It’s a great chance to meet new people, share ideas, and learn more about how the Guild supports you.

Bring your friends! – The AGM is more fun (and more powerful) when more students take part. Plus, did we mention the free food and drinks?

Get Involved!

The AGM is your chance as a student to make a difference or stay informed. Don’t miss out on this amazing opportunity to shape your time at Exeter.

We look forward to seeing you on Monday 1 December!
